The problem
How a job’s margin slips away
-
The receipt gets lost
In the glovebox, in a pocket or in a photo on the WhatsApp group. By the end of the month half are missing.
A photo at the counter. The image is kept.
-
One receipt, three jobs
Materials for three jobs come on one receipt. Weeks later they are split from memory.
Each line to its job, the same day.
-
The margin comes too late
You find out whether the job made money once it is closed and paid. Nothing left to fix.
Spend and margin up to date, while the job is still open.
Before and after

- 1 Supplier The name of the merchant or shop.
- 2 Date and number To sort the costs and find the receipt later.
- 3 Every line Item, quantity, price and amount. Not just the total.
- 4 VAT The rate of each line, for when your accountant asks.
- 5 Total Checked against the sum of the lines. If it doesn’t match, it warns you.

✓ The 4 lines add up to the total
- What can’t be read is left blank. For you to fill in. No data is made up.
- If it doesn’t add up, it warns you. When the lines don’t match the total, you see it before saving.
- The same receipt, once. If someone uploads it twice, it is rejected.

Who does what
Everyone does their part, where they are
-
1On site
The foreman takes the photo
At the merchant’s counter, before getting back in the van. If they don’t know which job it’s for, it stays as pending.
-
2In the office
Someone checks and splits
Fixes anything misread and assigns what’s pending. One receipt, several jobs, no rework.
-
3You
You watch the margin
Every job with its spend, its margin and the budget left. While you can still do something about it.

Questions
What builders ask
-
Do I need to install anything?
No. It opens in your phone’s browser and you can add it to the home screen like any other app.
-
What if the photo is bad or something can’t be read?
Before saving you see every line and can correct it. What can’t be read is left empty: it is never filled in with made-up data. If the lines don’t add up to the total, it warns you.
-
Can one receipt go to several jobs?
Yes. Each line is assigned on its own, so the merchant’s receipt is split between as many jobs as needed.
-
What if someone uploads the same receipt twice?
It is detected and rejected with a warning, so no cost is counted twice.
-
Does it work with crumpled or thermal-paper receipts?
As long as they can be read in the photo, yes. If something can’t be made out, it is left blank for you to fill in. In the pilot we check it with your real receipts.
-
Where is my data kept?
On servers in the European Union. Each company only sees its own jobs and receipts, and the photos are stored privately.
-
Does it connect to my accounting software?
Not yet. It is planned for later; if you need it, tell us which one you use.
-
How much does it cost?
The price is not set yet. The first companies try it on pilot terms: we’ll tell you about them on WhatsApp.

- Hi! Ask me anything about Job Cost Control: how receipts are uploaded, how they’re split between jobs, VAT, the pilot…
